What Is the Project Collaboration Dashboard?

The Project Collaboration Dashboard is a Power BI report you can view on the My Overview ribbon that shows both summary information and individual details about action items that are part of projects as well as the resources assigned to those action items.

You can view the Project Collaboration Dashboard from the following tiles on the My Overview ribbon:

  • The Project Collaboration Dashboard tile—From this tile, you can select the Project Collaboration Dashboard for any project in the selected portfolio to which you have access.
  • The Action Items Dashboard tile—When you click the Drill through option for a project on the Action Items Dashboard, you can view the Project Collaboration Dashboard for the selected project.

Contact your administrator if you cannot find either tile on the My Overview ribbon.

Dashboard Overview

The Project Collaboration Dashboard includes the following tabs:

  • Project Action Item Summary—Shows charts, treemaps, tables, and statistics that summarize information about action items and their related projects, including filters and the ability to drill down for additional details.
  • About—Shows the dashboard's data source server name and database name, as well as when the model was last processed.

Accessing the Dashboard



NOTE

To use the Project Collaboration Dashboard in Planview Enterprise One – PRM, an administrator must first perform some configuration steps, including creating a Power BI tile that uses the Project Collaboration Dashboard Power BI report or the Action Items Dashboard Power BI report. If you cannot find either tile, contact your administrator to either add the tiles or find the names of the tiles used in your environment.

How Do I Enable and Customize the Power BI Dashboards?

Before users can access the Power BI dashboard tiles in Planview Enterprise One – PRM, administrators must configure the proper tabular model and job streams. The dashboards use out-of-the-box models that do not include any customer-specific attributes.

Administrators can enable the following Power BI dashboards:

Action Items Dashboard

The Action Items Dashboard is a Power BI report you can view on the My Overview ribbon that shows both summary information and individual details about action items that are part of projects as well as the resources assigned to those action items. The Action Items Dashboard includes the following tabs:

  • Work Action Item Dashboard—Shows charts, treemaps, tables, and statistics that summarize information about action items and their related projects, including filters and the ability to drill down for additional details. To access the Action Items Dashboard

  • On the menu bar, click My Overview.
  • On the ribbon, click the Action Items Dashboard tile. If the tile does not appear on the ribbon, add it.

Prerequisites (Why can't I use the Action Items Dashboard?)

If you can't use the Action Items Dashboard, contact your administrator to ensure that the following prerequisites are met.

  • User Role Features
  • The following features must be enabled on your user role.
  • Use Cubes & Tabular Models
  • Enabled Global or System Options
  • None.
  • Grants
  • Grants to the work associated with the action items.
  • Additional Prerequisites
  • An administrator must have created a My Overview tile that links to the Action Items Dashboard Power BI report.

Project Collaboration Dashboard

What Is the Project Collaboration Dashboard?

The Project Collaboration Dashboard is a Power BI report you can view on the My Overview ribbon that shows both summary information and individual details about action items that are part of projects as well as the resources assigned to those action items.

You can view the Project Collaboration Dashboard from the following tiles on the My Overview ribbon:

  • The Project Collaboration Dashboard tile—From this tile, you can select the Project Collaboration Dashboard for any project in the selected portfolio to which you have access.

To access the Project Collaboration Dashboard for any project in a portfolio:

  • On the menu bar, click My Overview.
  • On the ribbon, click the Project Collaboration Dashboard tile. If the tile does not appear on the ribbon, add it.
  • Click the Select Work list and click the project you want to view.

To access the Project Collaboration Dashboard from the Action Items Dashboard:

  • On the menu bar, click My Overview.
  • On the ribbon, click the Action Items Dashboard tile. If the tile does not appear on the ribbon, add it.
  • Filter the dashboard as needed.
  • Take one of the following steps:
  • In the Project section, right-click a project slice and click Drill through > Project Action Item Summary.
  • In the Projects with Action Items table, right-click anywhere in a project's row and click Drill through > Project Action Item Summary.

The Project Collaboration Dashboard for the selected project opens within the Action Items Dashboard tile's screen.

Value Stream Analysis

What Are the Value Stream Analysis Power BI Dashboards?

The Value Stream Analysis Power BI dashboards are Power BI reports you can view on the My Overview ribbon that visualize both summary information and individual details of work and strategies for analysis, whether you are using a traditional strategy and program management workflow in Enterprise One or a using a lean portfolio management approach with a connected Enterprise One-Planview LeanKit environment and want to see project team and Agile team delivery metrics for value stream and epic analysis. The charts and tables on these dashboards help team members such as Agile delivery leaders, scrum masters, portfolio managers, project managers, and executives visualize portfolios and drive decision-making.

The following list describes the Value Stream Analysis dashboards:

Value Stream Analysis - Work and Strategies

Includes metrics from both work and strategies in Enterprise One and, optionally, boards, cards, and tasks in Planview LeanKit. Use this dashboard if you are leveraging the connection between strategies and work in a full value stream. :

Drill-Through Reports

Some data elements in the charts and graphs on Value Stream Analysis tab include drill-through reports, which you can view by right-clicking the data element. The following list describes all possible drill-through reports; the available drill-through reports for a data element depend on the specific information you are focusing on:

  • Epic Analysis—Shows the breakdown of cost by account for the epic and the breakdown of the value stream by epic and feature, as well as a LeanKit card count by priority.
  • Multi-Epic Burndown—Shows the combined burndown chart for a multiple selected epics, which illustrates the progress of work completed over time to help visualize progress and answer the question, “Are we on track to complete the planned work by the deadline/end of this iteration/sprint?" It also helps to understand the impact of unplanned work..
  • Epic Burndown—Shows the burndown chart for a single epic, which illustrates the progress of work completed over time to help visualize progress and answer the question, “Are we on track to complete the planned work by the deadline/end of this iteration/sprint?" It also helps to understand the impact of unplanned work.
  • Feature Burndown—(Work and Strategies dashboard only) Shows the burndown chart for a feature, which illustrates the progress of work completed over time to help visualize progress and answer the question, “Are we on track to complete the planned work by the deadline/end of this iteration/sprint?" It also helps to understand the impact of unplanned work.
  • Epic Flow—Shows the cumulative flow diagram for the epic, which illustrates the distribution of tasks in each of the process states, accumulating over time. Each colored band indicates how many tasks are present in each state of the process at a given time. Using the diagram, you can quickly get a visual assessment of the stability of the process.

You can see changes in team performance at a glance based on how the gradients of the bands change over time. For example, an increase in the gradient for the Finished band means that the team is delivering work faster. However, a sharp increase in the gradient of the Started band indicates that a bottleneck is beginning to develop.

  • Feature Flow—(Work and Strategies dashboard only) Shows the cumulative flow diagram for the feature, which illustrates the distribution of tasks in each of the process states, accumulating over time. Each colored band indicates how many tasks are present in each state of the process at a given time. Using the diagram, you can quickly get a visual assessment of the stability of the process.

  • Epic Cycle Time—Shows the cycle time for the epic, which measures how much time a card spends going through the process. Cycle time directly measures how long it takes a team to deliver a task. To use the Value Stream Analysis - Work and Strategies dashboard or and the Value Stream Analysis - Work dashboard in Planview Enterprise One – PRM, an administrator must first perform some configuration steps, including creating a Power BI tile that uses the Value Stream Analysis - Work and Strategies or and the Value Stream Analysis - Work Power BI report. If you cannot find the tile, contact your administrator to either add the tile or find the name of the tile used in your environment.

To access the Action Items Dashboard

  • On the menu bar, click My Overview.
  • On the ribbon, click the Value Stream Analysis - Work and Strategies tile or the Value Stream Analysis - Work Only tile. If the tile does not appear on the ribbon, add it.

Using the Dashboard

The following sections describe some of the options you can use while viewing a Power BI dashboard.

Using the Right-Click Options

You can right-click in a section of the dashboard to perform specific actions, such as viewing the data as a table or opening a drill-through report. The following list shows possible right-click options; the available actions depend on which location you right-click:

  • Expand
  • Collapse
  • Show as table
  • Drill up
  • Include
  • Exclude
  • Drill through—Access the available drill-through reports for the data element, if any.
  • Copy
Using the Filters Pane

The Filters pane on the right side of the dashboard allows you to set filters for the data shown. Click < to access the Filters pane if it is not expanded.

NOTES

    The Filters on this page section applies to the entire dashboard.
    The Filters on this visual section appears when you click a section on the dashboard and applies only to the selected section.
    The Search box only filters the top-level option in the Filters on this page section.

After the initial configuration, administrators can modify the out-of-the-box Power BI report to customize the dashboard's report for their users. If you need additional customization to align the tabular model to your specific needs, such as new alternate structures or custom fields, contact your Planview Managing Consultant or Customer Success Manager to work with Planview Global Reporting Services (GRS).
